What Is Typically Not Included (But Often Assumed)
These are the areas that cause the most disagreement between commercial cleaning clients and providers:
Deep kitchen clean: Cleaning the inside of the fridge, cleaning the inside of cupboards, descaling the kettle and coffee machine β these are typically not part of a standard commercial clean. They require specific scheduling.
External windows: External glass above ground level almost always requires a separate window cleaning service with specific equipment.

2. How many hours will be allocated to my premises? A 500 sqm office cannot be properly cleaned in 1 hour. Hours matter. If a quote is very low, ask how many hours are allocated and whether it's physically possible to complete the listed scope in that time.
3. Who will be cleaning β an employee or a contractor? Some cleaning companies subcontract work. This affects consistency, accountability and insurance. Know who is actually entering your building.
4. What insurance does the company carry? At minimum: public liability insurance (minimum $10 million for commercial work) and workers' compensation insurance. Ask for certificates of currency, not just verbal confirmation.
5. What happens if something is missed or not done to standard? What is the process for raising issues? Is there a re-clean policy? How quickly will problems be rectified?
6. Are staff police checked? For premises that handle sensitive information or serve vulnerable populations, this matters. Ask directly.
7. What products are used? If staff have allergies or sensitivities, if your business has environmental commitments, or if you work with food, the products used matter. Ask for a product list.
8. What is the notice period and contract term? Many commercial cleaning contracts have 30-day notice periods on both sides β this is reasonable. Be wary of contracts with 3β6 month notice periods or automatic annual rollover clauses.
Red Flags to Watch For
A quote that's significantly cheaper than competitors. In commercial cleaning, price directly correlates with hours allocated and wage rates. A suspiciously cheap quote means corners are being cut somewhere β usually in time allocation, which means things are being skipped.
Vague scope of works. If the contract says "clean all areas as required" without specifics, you have no basis for holding the provider to any particular standard.
No insurance documentation provided. Any professional commercial cleaning company should be able to provide certificates of current insurance within 24 hours of request. If they can't, walk away.
High staff turnover / different cleaners each visit. Consistency is important in commercial cleaning. A provider who sends a different person every week is a provider who can't retain staff β and can't build the institutional knowledge of your premises that leads to consistent results.
No site visit before quoting. A reputable commercial cleaner will inspect your premises before providing a quote. A quote provided over the phone without seeing the space is a guess, not a professional assessment.
